Before/After Hours Event

BEFORE & AFTER HOURS EVENT FORM

Deadline: May 3, 2024

All exhibitors hosting an event on the exhibit floor before or after Show hours must complete this form and submit it for review and approval to Show Management by May 3, 2024

 

 

POLICIES AND PROCEDURES:

  • Before Show Hours Press Conferences and Functions within Exhibit Space
    • Before hours events may be scheduled for Show days June 12 - June 14, 2024, from 7:00 a.m. to 9:00 a.m.
    • With advance notice and approval, Exhibitors may be permitted to conduct press conferences, product briefings, dealer and/or staff training sessions, or other VIP customer product previews prior to show hours on show days only and within their exhibit spaces on the show floor.
  • After Hours Events: NEW for InfoComm 2024
    • Exhibitors securing 400 NSF or larger, after-hours events may be scheduled only for Show days June 12 - June 13, 2024, from 5:00 p.m. to 7:00 p.m.
    • It is important to note that hotel shuttles only run for one (1) hour after the show closes at 5:00 p.m. 

POLICIES AND PROCEDURES CONTINUED:

  • Event(s) must be scheduled prior to the Show with Show Management for admittance onto the show floor before or after official Show hours.
  • For every 25 people who are attending the event, a security guard, hired by the exhibitor, must be present.  Security must be ordered through InfoComm’ s official vendor. Security is required to escort event attendees to and from your booth and the designated hall entrance. Security information and order forms can be found in the online Exhibitors Manual.
  • Meetings of booth staff are exempt from the requirements to hire a security guard.
  • Show Management must receive a confirmation of hired security before permission will be issued.
  • Exhibitor’s guests will meet at a hall entrance specified by Show Management and a member of the Exhibitor’s staff must be present to coordinate hall access with the Exhibitor’s guests and event security.
  • Guest lists are required and must be submitted to Show Management and security prior to the event.
  • Exhibitors holding before or after hour event(s) on the InfoComm Show Floor are responsible for the conduct of their personnel and guests. Exhibitors holding such events will take appropriate measures to contain their guests within their exhibit space during the event(s) and out of other exhibitors' exhibits.
  • Alcohol is prohibited on the Show floor during events that occur before or after hours. 
  • Food and beverage for such functions must be arranged through the official convention center caterer, Sodexo Live!, and all food tables, chairs, trash, and other decorations used for such functions that are not part of the exhibitor’s display must be removed prior to the show opening.
